I am Gabby, Head of Ops at Hey Digital, and I am super excited to let you know that we're looking for an Operations Specialist to join our team!
Hey Digital is a B2B SaaS Performance Marketing Agency that has partnered with some of the hottest companies in the industry like PostHog, Hotjar, Toggl and Pitch (to name a few). We also run Hey Design, our new subscription-based design service, delivering world-class designs to companies like Instantly, Kilo Code and Aikido.
We have an incredible, fully remote team (20 countries and counting!) of Performance Marketers, Designers, Project Managers, Account Managers, and hopefully... you? ๐

About the role
๐ฆธ Responsibilities:
- Support the optimisation of our client delivery operations: spotting bottlenecks, improving processes, building systems in ClickUp and making things run smoother across departments.
- Work with light automations (e.g., Slack โ ClickUp workflows, n8n/Zapier-style logic, custom fields, rules, dependencies).
- Assist with People Ops workflows including hiring, onboarding/offboarding, documentation updates, organising events, and ensuring smooth internal processes.
- Analyse data from multiple sources (ClickUp, Sheets, time-tracked data, client metrics) and present insights clearly through reports and presentations.
- Create documentation, playbooks, and SOPs that help our teams operate at their best.
- Contribute to maintaining and improving our knowledge base (on Slite).
- Collaborate with multiple teams (Project Management, Account Management, Design, Performance Marketing, Growth) to understand needs, unblock workflows and elevate our internal operations.
๐ Requirements:
- 2โ3 years of experience levelling up operations in a startup or scale-up environment.
- Proven experience across Ops responsibilities such as process optimisation, automation, documentation, data analysis, and cross-team collaboration.
- High proficiency with tools like ClickUp and Slack, and comfort jumping between multiple platforms.
- Experience working with stakeholders across multiple departments.
- Solid understanding of project management principles, workflows, and dependencies.
- Familiarity with lean methodology and continuous improvement principles.
โญ๏ธ Really nice-to-haves:
- Experience with tools such as n8n, Typeform, Miro, Pitch, Slite, Lattice, Teamtailor, Deel, or Timetastic.
- Ability and excitement to use AI to deliver faster, better results.
- Experience running or supporting hiring processes.
- Experience in a customer-facing role (you understand firsthand what excellent client delivery looks like).
- Exposure to building or refining automations, forms, templates, or reporting dashboards.
About the Ops Team
Our Ops department is comprised of 2 teams - Project Management and Operations. You would work in the Operations Team, under Rhon (our Ops Team Lead) to support and drive forward our internal operations.

- Application โ You submit and we will review! We get A LOT of applications and we will endeavour to get through them as quickly as we can but please be patient with us!
- 1st Interview โ If selected, we'll schedule 30min to discuss your background, the role and any questions you have about Hey Digital.
- Paid Skills Assessment โ If the interview goes well, we'll send you an assessment (about half a day's work) to evaluate your practical abilities and ingenuity. Once submitted, we will reimburse you for your time!
- 2nd Interview โ You'll meet with me! We'll dig into some technicalities and learn more about one another.
- Culture Call โ Lastly, you'll meet with some other team members to make sure we are a perfect fit!
